Guidelines for eye examination and acquisition of computer glasses

1. Objective

These guidelines ensure that employees at the University of Bergen (UiB) entitled eye examination and computer glasses receive this. These guidelines describe how employees should proceed when needing an eye examination and when purchasing computer glasses in order to get costs refunded.

2. Basis

These guidelines form part of UiB’s Regulations (Part 3. Human Resources and HSE) and are based on Regulations relating to organization, management and participation.

3. Scope and area of application

These guidelines apply to employees at UiB with computer related work.

Employees are entitled to an eye examination before they start working with computers, and when vision problems, which can be related to computer work, occur.

An optician will assess if the employee needs computer glasses.

An optician with purchase agreement with UiB must be used if expenses associated with eye examination and acquisition of computer glasses shall be refunded, see Appendix.

4. Responsibility

Line Manager is responsible for giving information about these guidelines at the unit, and must ensure that employees entitled eye examination and computer glasses get their costs refunded in accordance with these guidelines.

Employees are required to follow these guidelines.

5. Definitions

Computer glasses: Specific glasses that are adjusted to the computer screen.

Ordinary glasses: Glasses for distance vision and reading glasses, including bifocal lenses. These glasses are not refundable.

6. Eye examination and acquisition of computer glasses

6.1 Facilitating the computer workplace

  • The employee must adjust the computer workplace regarding to light and design as shown in the presentation The presentation “Your computer workplace”
  • If the employee experience persistent eye vision problems, he/she should get an eye examination.

6.2 Eye examination and computer glasses

  • The employee makes an appointment with the optician that has a purchase agreement with UiB.
  • The employee fills out page 1 in the form ”Eye examination and computer glasses”, and brings this to the optician, see attachment.
  • If the optician finds that there is no need for computer glasses, this will be documented at page 2 in the form ”Eye examination and computer glasses”. Costs will be refunded as shown in these guidelines, section 6.3.
  • If the optician finds that computer glasses is necessary, this will be documented at page 2 in the form ”Eye examination and computer glasses”. Computer glasses must be ordered at the optician that has a purchase agreement with UiB. Costs will be refunded as shown in these guidelines, section 6.3.
  • If the eye examination at the optician shows that the employee needs further examination by an eye specialist, the employee will get a referral. The eye specialist signs at page 2 in the form ”Eye examination and computer glasses”. Costs will be refunded as shown in these guidelines, section 6.3
  • Employees must apply for reimbursement of expenses through the HR-portal, the form ”Eye examination and computer glasses” and the receipt must be attached.

6.3 Reimbursement of expenses

  • To get expenses refunded, optician with a purchase agreement with UiB must be used.
  • Expenses related to eye examination and computer glasses are covered by the unit’s assets.
  • According to the purchase agreement, UiB will refund expenses for:
    • Eye vision examination
    • Single vision lenses, computer bifocal lenses or counter/room bifocal lenses adapted to the distance to the computer screen.
    • Frame for computer glasses up until 750 NOK.
    • When additional examination by an eye specialist is required, the patient’s payment, according to The Norwegian Medical Association rate, is refunded when the referral is related to work in front of a computer screen.
    • Ordinary glasses are not refundable.

6.4 Follow up

  • Computer glasses paid by UiB must be used at work. UiB assumes that the frame and lenses will last for 5 years, unless changes in vision necessitate replacement of lenses. Optician can confirm if new lenses are required.
  • The general rule is that the employee retains the glasses when he or she leaves UiB. If the glasses are acquired during the last six months before the employee leaves UiB, the employee can buy the glasses from the unit where he/she works. The unit will then set the price.
